Creating Events in ClubSoft

Creating events in ClubSoft is quick and flexible. Whether you’re adding a board meeting, social gathering, regatta, or holiday party, you can configure everything from registration limits to visibility settings in just a few steps.


Who Can Create Events?

Manual event creation is available to:

  • Site Admin
  • Event Manager

If you do not see the Events section, contact your Club Administrator.


Step-by-Step: Creating a New Event

Step 1: Navigate to Events

Go to:

Events → Create Event


Step 2: Enter Basic Event Details

Complete the required fields:

  • Event Title– Clear, descriptive title
  • Description – Details about the event (agenda, dress code, notes, etc.)
  • Event Date & Time
  • Location – Clubhouse, marina dock, offsite location, etc.
  • Event Category – Social, Board Meeting, Regatta, Committee, etc.
    (event categories are created under Configuration – Application Settings)
  • Privacy Level – Public (everyone can see), Members Only (members can see details), Private (only admins can see details)
  • Event Image & Poster – Event image for event.

💡 Tip: Use consistent naming conventions for recurring events (e.g., “Board Meeting – March 2026”).


Step 3: Configure Ticket & Pricing (Optional)

If the event requires payment:

  • You can create ticket prices and collect a payment when a user RSVPs for an event.
  • Multiple ticket types can added to an event
  • Click on Tickets & Pricing and add a ticket type name, price, sales tax code, available quantity, and ticket description.

ClubSoft automatically tracks registrations and attendance.


Step 4: Events Settings

You can create additional details specific to your event under the Edit Event – Settings section.

  • Create recurring event – allows easy creation of daily, weekly, monthly (same day), and yearly events.
  • Maximum attendees – Sets a maximum number of attendees that can RSVP for an event
  • Registration deadline – Sets a registration close date and time
  • External Registration URL – Redirects a member to an external page to collect RSVP
  • Allow guest registration (non-members) – Allows non members the ability to RSVP for an event
  • Send email confirmation with tickets – Upon RSVP will send a confirmation email to the user with tickets & event details.
  • Show on public event calendar – Displays event on embeddable event calendar or Website Builder website webpage.
  • Disable registration for event – Displays event without RSVP button, ideal for meetings or other events that do not need to collect RSVPs
  • Enable automatic tagging for event – Set event to automatically tag users upon RSVP that can be used for Document permissions, communication notice, and invoicing.

Step 6: Save Event

Click Save Event to make the event live on:

  • The Event Calendar
  • Member Dashboards
  • Club’s website

After Creating an Event

Once published, you can:

  • Edit event details
  • View registered attendees
  • Send announcements to attendees
  • Track participation
  • Delete event

Best Practices

  • Use categories to keep your calendar organized
  • Add clear descriptions to reduce member questions
  • Set registration limits early for high-demand events
  • Review mobile view to ensure formatting looks clean

When to Use Manual Creation vs. Bulk Import

Use manual creation when:

  • Adding one-off events
  • Making quick edits
  • Creating small committee meetings

Use bulk import when:

  • Uploading annual calendars
  • Migrating events from another system
  • Creating large recurring event sets
