ClubSoft allows your club to send documents for electronic signature directly within the platform using our secure integration with SignWell.
This eliminates paper forms, manual emails, and tracking spreadsheets — everything stays organized inside your club’s dashboard.
Who Can Send E-Signature Documents?
The following roles can send documents for signature:
- Site Admin
- Documents Admin
If you do not see the E-Signature option, please contact your Site Admin.
What Types of Documents Can Be Sent?
ClubSoft supports both simple and advanced e-signature workflows:
1️⃣ Simple E-Signature Documents
Send a basic document that requires a single signature from one member.
Perfect for:
- Membership agreements
- Annual acknowledgments
- Code of conduct confirmations
- Event waivers

2️⃣ Advanced / Complex Documents
Send documents that include:
- Multiple signature fields
- Required initials
- Custom signature placement
Perfect for:
- Slip or moorage contracts
- Board agreements
- Trustee approvals
- Multi-party agreements
How It Works
Step 1: Create Your Document
Create your PDF document outside of ClubSoft and export to a PDF.
Step 2: Upload Document to ClubSoft App
For sending a basic document with a signature line on the second page, click on Send Basic Document. Or for more complex documents that require multiple signature lines, fields and initial lines, click Complex Document Setup and send a document to ClubSoft for completion on the setup.

Step 3: Select Members
Choose the member(s) by individually selecting users or select the tagged group of users who need to sign the document.

Step 4: Send for Signature
The member will receive an email notification prompting them to review and sign the document securely.
Step 5: Counter Sign
The Club Admin or the designated counter signer will receive an email once the document has been signed. They can then sign the document for completion on the clubs end.
Completed documents are automatically stored within ClubSoft for future reference.
Where Are Signed Documents Stored?
Once fully signed:
- A finalized copy is saved to your club’s document storage
- The document is associated with the member’s profile
- The member can also view their e-signed documents from the Documents – E-Signed Documents section
- Admins can download or review at any time
No manual uploading required.
Security & Compliance
All documents are securely delivered and processed through SignWell. Electronic signatures collected are legally binding and timestamped for audit purposes.
Best Practices
✔ Use clear file names (e.g., “2026 Membership Agreement”)
✔ Use tags if you want to send documents only to specific member groups
✔ Review documents before sending to ensure signature fields are correctly assigned
✔ Keep a standardized template for recurring annual documents
