Email Domains in ClubSoft (Transactional vs Broadcast)

This guide explains how email sending works in ClubSoft, the difference between transactional and broadcast emails, and how custom domains improve deliverability.


✉️ Types of Emails in ClubSoft

ClubSoft sends two types of emails:

1. Transactional Emails (Automated)

These are sent automatically based on actions in the system:

  • Invoices & receipts
  • Event confirmations
  • Password resets
  • Account notifications

How they appear to members:

  • From Name: Your club name (e.g., Lake Chelan Yacht Club)
  • Reply-To Email: Your club’s configured reply email

2. Broadcast Emails (Bulk Messages)

These are sent manually to groups of members:

  • Announcements
  • Newsletters
  • Event promotions

How they appear to members:

  • From Name: A person + club (e.g., Bob Smith @ Lake Chelan Yacht Club)
  • Reply-To Email: Your club’s configured reply email

🌐 Custom Email Domains

ClubSoft allows you to configure custom sending domains for your emails (e.g., yourclub.com).

Your Options

✅ Option 1: One Domain for Everything (Recommended)

  • Set a single domain
  • Used for both transactional and broadcast emails
  • Simple setup and works well for most clubs

⚙️ Option 2: Separate Domains (Advanced)

  • Set one domain for transactional emails
  • Set a different domain for broadcast emails

Why would you do this?

  • Separate reputation between automated emails and bulk emails
  • Protect important emails (like invoices) from being affected by large email sends
  • More control for clubs sending high volumes of broadcasts

How to configure your custom domain.

  • Navigate to the Configuration – Email Settings page
  • Enter the preferred domain
  • Make the configuration changes on your DNS provider.

*DNS changes can take up to 48 hours to propagate. After adding these records, click “Verify Domain” to check the status.


🔁 Default Behavior (No Domain Set)

If you do not configure a domain:

  • ClubSoft sends emails using its own domains (via Resend)
  • Your members likely won’t notice, because:
    • The From Name still shows your club
    • The Reply-To Email still goes to your club

This means everything will still function normally out of the box.


📬 Reply-To Behavior (Important)

Regardless of domain setup:

  • All replies from members go to your club’s reply email
  • You maintain full control of communication with your members

🚀 Why Set a Custom Domain?

Setting a custom domain is optional, but recommended.

Benefits:

  • Improves email deliverability (less chance of spam filtering)
  • Emails appear more trustworthy and professional
  • Builds consistency with your club’s branding
  • Gives you more control over your email reputation

ClubSoft uses Resend to power email delivery.

  • Transactional emails are optimized for reliability and delivery speed
  • Broadcast emails are optimized for sending to groups efficiently
