Events Management Enhancements

The April 2026 update introduces significant improvements to the events module, focusing on external integrations and streamlined registration workflows. These changes aim to centralize event data and simplify the administrative process for club organizers.

📅 Calendar Synchronization – The platform now supports full synchronization with Google Calendar, Microsoft Outlook, and iCal. Administrators can generate unique feed URLs for specific event categories or the entire club calendar. This integration ensures that event dates, times, and location details remain consistent across external devices and personal scheduling tools used by club members.

💳 Financial Integration for Registrations – The event registration process now includes native handling of payments, registrations, and deletions within a single workflow. When a member registers for a paid event, the system generates the corresponding invoice and processes the payment through the connected gateway. If a registration is deleted by an administrator, the system provides options to manage associated refunds or credit notes automatically.

👤 User Profile Event Tracking – A dedicated event registration section is now visible within individual user profiles. This view provides a historical log of all past and upcoming events for which the member has registered. It allows staff to verify attendance records and registration statuses without navigating away from the member’s core profile page.

✏️ Registration Modification Tools – New functionality permits the editing and deletion of existing event registrations. Administrators can modify registration details, such as guest counts or meal preferences, after the initial sign-up has occurred. The deletion tool includes a confirmation step to prevent accidental removal of attendee data.

🔗 Event Distribution – An event share button is now standard on all public and member-only event pages. This tool generates a direct link that can be copied or shared via communication channels, facilitating higher visibility for club activities and social gatherings.

Member Directory & User Profiles

The core database and member management tools received updates to improve data portability and contact organization. These features focus on the transition of prospective members into the active roster and the refinement of staff records.

🔄 Invoice Synchronization – A manual sync invoice button is now available within the financial section of user profiles. This feature triggers an immediate reconciliation between the ClubSoft database and integrated accounting platforms like QuickBooks or Stripe. It ensures that the most recent payment statuses are reflected in the member’s account view.

📊 Expanded Data Export – The export utility for the member directory now includes comprehensive data fields for resources and registered items. When generating a CSV or Excel report, administrators can include boat dimensions, trailer information, and specific resource assignments. This allows for more detailed offline analysis of club assets and member property.

📇 Contacts Page Infrastructure – The contacts management interface underwent structural updates to enhance loading speeds and search efficiency. The layout presents contact details, status indicators, and relevant tags in a more compact format, allowing for the display of more records per page.

👥 Staff Profile Management – Permissions for managing staff records are now more granular. Administrators with appropriate access levels can edit staff profile details, update job titles, and modify contact information. This ensures that the internal directory remains accurate as roles within the club evolve.

📝 Contact Annotation Field – A dedicated notes field is now included in all contact records. This area allows for the entry of internal comments, historical context, or specific member preferences that do not fit into standard data fields. These notes are visible only to administrators and staff members with profile-viewing permissions.

🔄 Contact Status Migration – The system now supports the direct movement of records between contact to member. Users can be transitioned from a contact to a prospective member or an active member with a single action. This migration preserves existing communication logs and notes associated with the record during the transition.

🔍 Tagged Directory Search – The member directory search tool now includes a filter for tagged users. Administrators can filter the list by custom tags assigned to profiles, such as “Volunteer,” “Board Member,” or “Race Committee.” This facilitates the quick identification of specific groups within the larger membership base.

Resource & Registered Items

Management of physical club assets and member property is more flexible with the introduction of new filtering and unlinking capabilities. These updates are located within the Resources and Moorage modules.

View Vessel And Registered Items – View all vessels and registered items from one page within the application. You can view current boat details or even past boat details.

🔗 Item Decoupling – Registered items, such as boats or trailers, can now be unlinked from specific resources without deleting the item from the member’s profile. This is useful during seasonal transitions or when a member moves a vessel from a permanent slip to dry storage, maintaining the historical record of the item while freeing up the resource.

Internal Marketplace

🛍️ Internal Marketplace – Clubs can now sell items like t-shirts, ice, and other club gear directly through the app. Listings can be configured as self-serve for members or managed by administrators.

💳 Payment Options – Marketplace purchases support charging the payment method on file, credit card, ACH, or generating an invoice.

Documents & Custom Forms

The document management system and form builder received updates to support more complex financial transactions and administrative edits.

📝 Classifieds Management – An edit button is now available within the classifieds section. This allows administrators to modify the text, pricing, or images of existing listings on behalf of members. This tool ensures that the club’s marketplace remains accurate and professional.

📄 Custom Form Financials – Custom forms now support the addition of custom payment fields and specific product items. This allows clubs to use the form builder for complex applications or service requests that require immediate payment. Products defined in the club’s financial settings can be embedded directly into these forms, with totals calculated automatically based on user selection.

Advanced Reporting & System Maintenance

Reporting capabilities have expanded to include more metadata tracking, while the platform’s core stability has been reinforced through routine maintenance.

🏷️ Tag Assignment Report – A new report in the Advanced Reporting module tracks tag assignments across the entire user database. This report provides a breakdown of which tags are currently in use and which members are associated with them. It serves as a tool for auditing club demographics and participation groups.

🛠️ Feedback & Support Channels – New help and feature request forms are integrated directly into the administrative dashboard. These forms allow users to report bugs or suggest new features to the development team. Each submission is tracked internally to ensure that user feedback is incorporated into future update cycles.

🔒 Security & Infrastructure – Several security patches were deployed to reinforce data encryption protocols and user authentication processes. These updates address potential vulnerabilities and ensure compliance with modern data protection standards.

🐛 System Refinements – Routine bug fixes were implemented across various modules, including the billing dashboard, email communication tool, and mobile interface. These fixes resolve minor UI inconsistencies and improve the overall responsiveness of the application during high-traffic periods.

The April 2026 updates focus on consolidating workflows and providing administrators with more precise tools for managing memberships, events, and club resources. These improvements represent a continued commitment to providing a simple and efficient management experience for yacht clubs and sailing organizations.
